Writing Guidelines

  1. ISO 9001 is process-oriented — Focus on PDCA (Plan-Do-Check-Act) and process thinking. VisiTrans as a SaaS company has relatively simple operational processes (software development, customer support, sales).

  2. Reifegrad assessment — Use the same SPICE maturity model as ISMS. For a 15-person company:

  3. Process controls (Chapter 8): likely reifegrad 1-2
  4. Leadership/context (Chapters 4-5): likely reifegrad 2-3 if policies exist

  5. Measurement (Chapter 9): reifegrad 1 unless KPIs are actually tracked

  6. KPI definitions must be measurable — Don't define KPIs that can't actually be measured with the tools VisiTrans has. Prefer simple, automated metrics.

  7. Management review — Don't try to fill in actual data values. Set up the structure with Dataview queries that will auto-populate. Write the narrative template sections.

  8. Environment KPIs — Keep simple and relevant for a software company. No manufacturing metrics.

  9. Write in German with VisiTrans tone — Direct, factual, informal. Use "wir" instead of passive constructions. Use "du/ihr/euch" internally, never formal "Sie" (except in customer-facing or legal contexts). No corporate flourishes ("bekennt sich zu", "prägt unser Handeln", "zentrale Verpflichtung"). Short sentences. Descriptive headers ("Worum es geht" not "Zielsetzung"). Quick test: "Would a 15-person team in Hamburg actually write it this way?" Workflow

  1. Read the target file and its current state
  2. For controls: read related policies and existing processes
  3. For KPIs: check what data sources are available (dashboards, tools)
  4. Write content with VisiTrans-specific context
  5. Fill all YAML frontmatter fields
  6. Add [[wiki-links]] to related documents across domains
  7. Set appropriate review_date (1 year from today)
